POSITION SUMMARY
The Sales Specialist and Executive Assistant is responsible for helping the Chief Business Development officer to create and maintain a healthy, productive work environment by providing a high level of support within the area of Sales and Business Development at Fading West. The role is a combination of roughly 50% executive assistant work and 50% sales specialist work. Both are integral to allowing the Chief Business Development Officer to become the most productive they can be. This role will also help with any needs the Chief Business Development Officer may have as relates to Strategic Partnerships.
Responsibilities
Manage Chief Business Development Officer's Communications:
· Communicate on the Chief Business Development Officer's behalf both internally and externally
· Read, organize, and appropriately address communication across multiple channels on behalf of the Chief Business Development Officer.
Manage Chief Business Development Officer's Schedule:
· Help the Chief Business Development Officer achieve his "ideal week"
· Manage meetings including preparing agendas, prepping Chief Business Development Officer for the meeting's agenda, taking notes, and distributing action items.
· Complex calendar management and scheduling on behalf of Chief Business Development Officer
· Making sure the Chief Business Development Officer is on schedule each day
Various Tasks:
· Responsible for varying professional administrative tasks including, but not limited to, booking appointments, submitting invoices, and various purchasing, etc.
· Manage all field requests such as speaking engagements, interviews, memberships, etc.
· Expense reporting on behalf of Chief Business Development Officer (occasionally)
· Manage Chief Business Development Officer's LinkedIn
Sales Support Specialist:
· Follows all steps of Fading West Sales Process so that everyone is provided excellent customer service from first point of contact until a contract has been signed
· Compiles daily list of leads and delegating to appropriate channels or other sales individuals where appropriate
· Assist with meeting sales and marketing goals
· Prospecting, marketing & promoting new business
· Qualify sales leads / vet new leads
· Follow up with prospects throughout the sales process
· Maintain an accessible and organized filing system for sales utilizing the CRM
· Handles all administrative duties, including scheduling client conference calls and in person meetings for Chief Business Development Officer
· Work & communicate effectively with internal team and customers
Project Management:
· Maintain comprehensive documentation on client projects (notes, maps, contacts), all pre-contract
· Goal tracking of all projects
Event planning and travel and other:
· Coordinate group tours for prospective clients, investors, vendors to visit factor
· Coordinate lunches, or other meal reservations for tours and /or other visitors to facility
· Assist with planning when company is involved with tradeshows
· Arrange for and travel with Chief Business Development Officer as relates to tradeshows, strategic partnerships, meeting with government officials, professional organizations
· Organize and maintain information across a variety of priorities
Make the Chief Business Development Officer the best that they can be:
· Assist Chief Business Development Officer with the details of sales, projects, clients and organizations both internal and external
· Assist Chief Business Development Officer with details as relates to any professional events, as needed

Qualifications
· Experience in a professional, fast paced work environment
· Proactive management skills
· Extremely flexible and high level of prioritization amongst complexity
· Exceptional with people and navigating a professional workplace and industry
· Knowledge and experience with basic accounting, writing and research.
· Demonstrated ability to manage high level communication and scheduling.
· Proficient in Microsoft Office and other software programs.
