OFFICE MANAGER (Administrative)

KENT® Nutrition Group, a member of KENT® Corporation family of companies, is seeking an Office Manager that will lead in the administrative and customer service functions performed in the office at the plant. This is a full-time, salaried position that offers an excellent benefits package and reports to the Plant Manager.

  • This position is designed and intended to be performed in Sheldon, IA.

SUPERVISORY RESPONSIBILITIES:

  • Direct Reports: 5-7 direct reports
  • Foster a positive and productive work environment, encouraging teamwork and collaboration.
  • Maintain clear and open communication with staff, management, and other departments.
  • Set performance goals and objectives for the team, and regularly review progress.
  • Allocate resources effectively to ensure smooth operations.
  • Address and resolve operational issues promptly to minimize disruptions.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Ensuring adherence to all relevant accounting regulations and standards, including internal controls. Maintain appropriate inventory control principles.
  • Assist Corporate Accounting department with applicable month end close processes and reconciliation.
  • Generate and review financial reports related to billing, such as aging reports and revenue summaries.
  • Direct and assist with the daily operations which include preparing production tags, issuing returns and credits, approve and scan freight bills and vouchers, taking and dispatching orders and month end statements.
  • Oversee billing processes to ensure accurate and timely invoicing, payment processing, and account reconciliation. Support billing and invoicing both commercial (bulk) and distributor (dealer) and export accounts. 
  • Handle discrepancies by addressing and resolving billing discrepancies and disputes promptly.
  • Coordinate the procurement of all ingredients and bags.
  • Work with all plant and departments to facilitate the efficient operation of the plant.
  • Report factors that influence the quality and safety of finished feed and ingredients to the supervisor.
  • Address and resolve customer complaints and escalations effectively. Engages the Quality Control Manager when necessary.
  • Track and record daily dealer pickups and bulk deliveries.
  • Manage and train staff, ensuring they comply with relevant company policies and procedures.
  • Identify areas for improvement in customer service processes and implement changes to enhance efficiency and customer satisfaction.

EDUCATION, EXPERIENCE AND/OR QUALIFICATIONS:

  • Accounting knowledge preferred
  • 3-5 years experience setting expectations and leading a teams required
  • Bachelor's degree in business administration, accounting or equivalent experience preferred
  • Experience with Microsoft office products, especially working with Excel spreadsheets
  • Experience with accounting systems
  • Ability to provide excellent customer service
