Scouting Coordinator (Project Management)



The Scouting Coordinator supports the football program's recruiting efforts by assisting in the evaluation and organization of prospective high school and/or college transfer portal student-athletes. This position is responsible for managing and maintaining scouting boards, compiling background information, supporting on-campus recruiting visits, and facilitating communication between coaching and scouting staff. The Scouting Coordinator ensures operational efficiency across daily recruiting activities and serves as a key contributor in the identification, evaluation, and onboarding of prospective student-athletes.

Essential Functions:

  • Assist in the evaluation of prospective high school prospective and/or college transfer portal student-athletes (PSAs), including academic, athletic, and character assessments
  • Manages and maintains scouting databases, player evaluation systems, and both electronic (e.g. NextGen Prospect) and manual scouting boards
  • Compiles, analyzes, and distributes scouting reports and evaluations to support recruitment decisions
  • Research and maintain comprehensive, up-to-date scouting lists for current and future team acquisitions
  • Coordinates logistics for scouting activities such as travel, scheduling, event attendance, and report deadlines
  • Supports the development and management of the player communication and correspondence plan to ensure consistent, timely, and effective outreach
  • Provides onboarding assistance to new student-athletes upon their commitment
  • Organizes and manage recruiting-related travel logistics for coaches
  • Serves as a liaison between scouting staff, coaching staff, and front office personnel to ensure alignment and effective communication
  • Assist in organizing scouting and recruiting meetings, including preparation for draft period.
  • Participates in staff meetings, training sessions, and recruiting events as assigned
  • Ensures compliance with all NCAA, conference, and institutional recruiting rules and policies

Required Education: Bachelor's degree, AND: 

  • 1 year of experience in football recruiting, scouting, operations, or other related field

Equivalency/Substitution: Experience or a combination of education & related experience can be considered in lieu of degree. A one-to-one ratio is used to determine the number of years of experience required in place of a degree

  • Knowledge of NCAA rules and recruiting standards
  • NextGen, ARMS, Hudl 

Working Conditions Detail:

  • Frequent travel and irregular hours, particularly during recruiting season, camps, and on-campus events. Some travel may involve overnight stays and long hours.
  • Must be able to work in an office environment, as well as during off-campus events such as recruiting trips
  • Ability to work evenings, weekends, and holidays
  • Extended periods of sitting, standing, walking, or driving during field visits and events
  • Exposure to various weather conditions, including extreme temperatures or inclement weather

Supervision: None

Department Preferences:

  • Master's Level Degree
  • 3+ years' experience
  • Previous experience in football scouting or recruiting operations
