Construction Administrator

Do you love bringing order to complexity and ensuring nothing slips through the cracks? Are you passionate about supporting a dynamic team and making an impact behind the scenes? As a Construction Administrator, you'll be a key player in ensuring our construction operations run efficiently and effectively every day.

What You'll Do:
 

  • Provide administrative support to the construction team, including document management, data entry, and correspondence.

  • Organize and maintain project documentation such as contracts, permits, change orders, RFIs, and submittals.

  • Assist with verification that insurance is up-to-date and compliant.

  • Create, maintain, and audit new and existing vendors.

  • Coordinate with project managers, superintendents, vendors, and subcontractors to support timely and accurate information flow.

  • Work with Project Managers to update and distribute Weekly Status Reports for each active project.

  • Assist with scheduling meetings, tracking deadlines, and maintaining project calendars.

  • Support the preparation and processing of invoices, purchase orders, and other financial documents.

  • Process, track, and submit certified payroll, if required.

  • Maintain accurate records for compliance, reporting, and auditing purposes.

  • Help prepare reports and updates for internal and external stakeholders.

  • Contribute to team communication and coordination by managing phone and email correspondence.

  • Assists other Corporate Admins as needed.

What Makes You a Great Fit:
 

  • Bachelor's degree in business administration or 5+ years of Executive Administrative experience.

  • Previous supervisory experience preferred.

  • You have 1-3 Years of relevant experience in construction administration, office coordination, or a related role.

  • You're organized, detail-oriented, and thrive in a fast-paced environment.

  • You're an excellent communicator who enjoys working with different teams and partners.

  • You're proficient in Microsoft Office and familiar with construction management software (experience with Procore is a plus).

  • You're a proactive problem solver who takes initiative and ownership.

  • You bring a positive attitude and professionalism to everything you do.
