Construction Administrator
Do you love bringing order to complexity and ensuring nothing slips through the cracks? Are you passionate about supporting a dynamic team and making an impact behind the scenes? As a Construction Administrator, you'll be a key player in ensuring our construction operations run efficiently and effectively every day.
What You'll Do:
Provide administrative support to the construction team, including document management, data entry, and correspondence.
Organize and maintain project documentation such as contracts, permits, change orders, RFIs, and submittals.
Assist with verification that insurance is up-to-date and compliant.
Create, maintain, and audit new and existing vendors.
Coordinate with project managers, superintendents, vendors, and subcontractors to support timely and accurate information flow.
Work with Project Managers to update and distribute Weekly Status Reports for each active project.
Assist with scheduling meetings, tracking deadlines, and maintaining project calendars.
Support the preparation and processing of invoices, purchase orders, and other financial documents.
Process, track, and submit certified payroll, if required.
Maintain accurate records for compliance, reporting, and auditing purposes.
Help prepare reports and updates for internal and external stakeholders.
Contribute to team communication and coordination by managing phone and email correspondence.
Assists other Corporate Admins as needed.
What Makes You a Great Fit:
Bachelor's degree in business administration or 5+ years of Executive Administrative experience.
Previous supervisory experience preferred.
You have 1-3 Years of relevant experience in construction administration, office coordination, or a related role.
You're organized, detail-oriented, and thrive in a fast-paced environment.
You're an excellent communicator who enjoys working with different teams and partners.
You're proficient in Microsoft Office and familiar with construction management software (experience with Procore is a plus).
You're a proactive problem solver who takes initiative and ownership.
You bring a positive attitude and professionalism to everything you do.
