Workday Administrator (Information Technology)



Position Summary

The Workday Administrator is responsible for supporting the successful implementation, configuration, administration, and ongoing optimization of CLA's ERP system, Workday, to align with the organization's strategic talent and business objectives. Reporting to both the Chief Technology Officer (CPO) and Chief Operating Officer (COO), this role serves as a technical and functional expert across ERP work streams, ensuring data integrity, system efficiency, and a high-quality user experience.

The Workday Administrator ensures that the ERP roadmap aligns with organizational goals and evolving workforce strategies. They play a critical role in advancing strategic initiatives by providing timely, accurate data and enabling process improvements through system capabilities. The Administrator also contributes essential expertise to a range of related projects, including business process improvements, reorganizations, talent planning, workforce analytics, leadership development, compensation reviews, data governance, security strategy and compliance audits.

  • Location: Remote
  • Compensation: $88,000 - $140,000 per year, with fully paid medical and healthcare premiums

Duties and Responsibilities

System Implementation and Configuration

  • Partner company stakeholders and vendors to support Workday implementation, ensuring alignment with business processes and organizational priorities by gathering requirements, conducting gap analysis, and translating needs into system logic.

  • Translate functional requirements into system configurations across Workday functional areas.

  • Participate in solution design, testing, data migration, user acceptance testing (UAT), and go-live planning, including scenario-based testing and defect resolution tracking through test management tools.

  • Lead or support data conversion efforts, ensuring legacy data is accurately mapped, cleansed, validated, and formatted.

System Administration and Optimization

  • Maintain, update and support system configurations, workflows, and security roles based on business needs and organizational changes, ensuring accuracy through version control and stakeholder sign-off.

  • Evaluate and implement Workday system updates and new features during regular release cycles by reviewing Workday Community release notes, assessing relevance, and piloting functionality with user groups.

  • Monitor system performance, troubleshoot issues, and coordinate with Workday support or internal IT to ensure uptime and functionality through dashboard alerts, case tracking, and SLA adherence.

  • Serve as the organization's escalation point for sensitive payroll issues, wage disputes, and labor claims, providing strategic counsel and documentation to mitigate legal and financial exposure.

Data Management, Governance, and Integrity

  • Establish and enforce data governance standards to maintain data quality, accuracy, and consistency by defining ownership protocols, implementing validations, and conducting root cause analyses.

  • Conduct regular audits and data validations to ensure compliance and operational integrity, including the use of Workday-delivered and custom audit reports to identify anomalies and ensure corrections.

  • Collaborate with business users to resolve data discrepancies and improve data entry practices through feedback loops, tip sheets, and cross-functional training sessions.

Reporting, Dashboards, and Analytics

  • Design and maintain customized dashboards, KPIs, and analytical reports with business and analytics leaders, using report writer and calculated fields to support strategy, planning and compliance.

  • Provide insights and trend analysis to support workforce planning, initiatives, compliance, and executive decision-making by synthesizing data into visual summaries and actionable insights.

  • Leverage Workday tools (e.g., report writer, calculated fields, discovery boards) for dynamic data visualization and scenario modeling for organizational planning.

Security, Compliance, and Data Privacy

  • Manage user roles, permissions, and data access to align with security protocols and compliance requirements by auditing access logs, applying least privilege principles, and testing permission changes.

  • Support internal and external audits, ensuring readiness and appropriate documentation by maintaining a repository of audit artifacts and aligning data fields with reporting requirements.

  • Ensure adherence to data privacy regulations such as GDPR, HIPAA, and CCPA by conducting periodic reviews, enforcing access controls, and documenting data lifecycle practices.

Training, Change Management, and User Support

  • Serve as the enterprise lead in addressing and mitigating legal exposure related to wage and hour disputes, employee classification, labor audits, and other compensation-related claims, ensuring proactive resolution and minimal financial or reputational risk to the organization.

  • Monitor legislation and implement regulatory updates, ensuring alignment with federal, state, and local regulatory requirements, as well as internal policies.

  • Develop and enforce controls to safeguard employee data, ensure compliance, and mitigate risk across all programs and systems.

  • Lead audit and compliance activities with internal and external stakeholders.

System Integration and Technical Coordination

  • Support and maintain Workday integrations.

  • Monitor and troubleshoot data flows and integration errors, working with internal and external technical teams as needed to resolve mapping issues, transform logic, and maintain audit logs.

  • Participate in the design and testing of new or updated integrations and data interfaces by reviewing technical specifications, validating transmission schedules, and managing exceptions.

Supervisory Responsibilities

The position may require the supervision of various employees including individual contributors and first and/or middle managers.

Essential Job Functions

  • Ability to operate designated technology devices and programs.

  • Ability to work in the designated office and its environment as well as indoor and outdoor environments within airports including airside facilities, landside facilities, and terminal buildings.

  • Must be able to communicate verbally and in writing with internal and external stakeholders in a variety of small and large group settings.

  • If needed, must have a reasonable space to work from home/remotely with appropriate office set up.

  • Ability to work extended hours and in a flex schedule to meet the demands of the position.

  • Able to comply with any and all safety requirements necessary to perform the job safely.

  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.

Travel Expectations

Occasional travel may be required. A current passport and other possible travel documentation may be necessary.

Required Education and Experience

  • Minimum 5 years of progressive experience in ERP administration with at least 3 years working with Workday within a mid- to large-scale organization.

  • Direct, hands-on experience configuring and supporting Workday modules with specific expertise in Payroll. Absence, Timetracking, Advance Comp, and Benefits.

  • Proven successs supporting Workday implementation projects, including configuration, data conversion, testing, and go-live activities.

  • Strong understanding of HCM and financial data structures, data governance principles, and system integration fundamentals.

  • Proven ability to manage system administration tasks and execute regular system updates with minimal disruption.

  • Experience creating, maintaining, and optimizing custom reports, dashboards, and calculated fields in Workday.

  • Demonstrated ability to troubleshoot technical issues, analyze data discrepancies, and communicate effectively across functional teams.

  • High attention to detail and data accuracy, system integrity, and user experience.

  • Strong interpersonal and communication skills, with the ability to collaborate cross-functionally and translate technical concepts for non-technical users.

  • Proven success supporting change manageent and organizational communication, with experience with organization-wide initiatives.

  • Experience partnering effectively across various departments and business units demonstrating strong cross-functional collaboration and influence skills.  

  • Strong commitment to confidentiality, data privacy, and ethical integrity.

Preferred Education and Experience

  • Bachelor's degree in Business Administration, Information Systems, or a related field.

  • Professional certification such as Workday Pro, SHRM-CP/SCP, PHR/SPHR, or PMP.

  • Experience in highly regulated industries such as aviation, healthcare, or finance.

  • Familiarity with basic California labor, benefits, and payroll regulations.

  • Proficiency in data analytics, dashboard development, and data visualization tools to support strategic initiatives.
