Manager, Capital Project Contracts (Legal)

SUMMARY

We are seeking a highly skilled and experienced Manager to oversee our Capital Contracts team, including the Contract Analyst role. This Manager will be responsible for leading the preparation, review, and administration of contractual proposals and overseeing invoice management related to our Capital Projects. The Manager will ensure that all activities align with company policies and compliance standards, including adherence to specifications for materials, equipment, manpower, and other contracted services.

KEY RESPONSIBILITIES

Construction Reporting

  • Prepare monthly and quarterly construction reports, including total spend, variances, and the number of projects in the pipeline.
  • Generate monthly reports on contracts and purchase orders.
  • Review and compare actual results to budgeted amounts, identifying and reporting significant variances.

Construction Contracts

  • Provide guidance on contract terms and conditions, ensuring compliance and minimizing legal risks.
  • Monitor and enforce compliance with contract requirements.
  • Maintain and organize audit files related to original contracts, change orders, amendments, and payment schedules.
  • Manage and train staff.
  • Create standard operating procedures (SOPs) for the department.
  • Monitor team performance and goals to meet contract volume expectations.
  • Review and post contracts and change orders in Yardi.
  • Attend weekly calls with the Legal team to prioritize contracts and resolve contract issues.

TRAVEL

Some out-of-area and overnight travel may be expected.

MINIMUM REQUIREMENTS

  • Bachelor's degree in Business Administration or a related field; an advanced degree is preferred.
  • Minimum of 5-7 years of relevant experience in contract management or capital project administration, with a proven track record in a managerial role.
  • Strong knowledge of legal and regulatory requirements in the construction industry.
  • Proficiency in financial software and tools, such as Yardi, VendorCafe, and Microsoft Excel.
  • Excellent written and verbal communication skills, with the ability to provide clear guidance on contract terms and conditions.
  • Strong collaboration skills to work effectively with cross-functional teams, including Legal, Accounting, and Project Management.
  • Ability to train and mentor team members, promoting best practices in contract management.
