Asst Dir of Academic Services (Finance)



The Assistant Director for Academic Services provides strategic leadership and operational oversight for all academic functions within the Global Learning Office. This role is responsible for managing Global Learning course registration, academic records, and School of Record (SoR) partnerships, supporting the academic experiences of approximately 1,500 students annually. The Assistant Director develops, implements, and evaluates academic policies and procedures to ensure compliance with institutional, state, and federal regulations. A key component of this role is the continuous assessment and streamlining of academic operations to enhance efficiency, accuracy, and service delivery. This position reports to the Assistant Vice President and supervises a team of enrollment and academic services staff members.Minimum Qualifications: Bachelor's degree with substantial experience in academic administration, registrar services, or international education. Demonstrated expertise in student information systems (e.g., BANNER, Terra Dotta), academic policy development, and compliance. Strong leadership, analytical, and communication skills with a proven ability to manage complex academic operations and implement institutional policies.

Preferred Qualifications: Master's degree in Higher Education Administration, International Education, or a related field. Experience with School of Record models, international transcript evaluation, and academic policy development. Familiarity with USF academic structures and state-level higher education regulations.

Ensure that academic procedures related to course creation, grading, and transcript processing for Education Abroad programs are implemented in accordance with university regulations and academic standards. Evaluate existing academic workflows and implement process improvements to increase operational efficiency and reduce redundancies. Oversee the certification and submission of grades, processing of international transcripts, and maintenance of academic records. Supervise and support staff responsible for enrollment management and academic processing.

Student Registration & Records Management: Direct all aspects of student registration for Global Learning programs, collaborating with the Office of the Registrar, Admissions, and academic departments to ensure seamless processes. Resolve complex registration and enrollment issues, including tuition waivers and course adjustments. Establish and maintain internal policies governing student registration and academic recordkeeping for international programs, ensuring alignment with university-wide processes and compliance standards. Maintain the integrity of the Global Learning course and student records database, ensuring data accuracy and compliance with institutional standards.

Policy Compliance, Reporting & Institutional Coordination: Develop and implement internal policies to ensure compliance with FERPA, accreditation, and other federal, state, and institutional regulations related to academic records and student data. Create and disseminate reports on enrollment, credit hour generation, and academic performance to support strategic planning and institutional reporting. Serve as a liaison to university stakeholders to align Global Learning academic services with broader institutional goals and accreditation requirements.

School of Record Management & Faculty Credentialing: Collaborate with academic departments to determine course equivalencies for SoR, affiliate, and exchange programs. Ensure faculty credentials for SoR programs meet institutional and accreditation standards, coordinating with Human Resources and academic units. Maintain the School of Record faculty roster in accordance with university and accreditation guidelines. Serve as a primary point of contact for SoR and affiliated institutions on curricular and academic policy matters.

Leadership & Supervision: Supervise the Enrollment Management Specialist and Enrollment Management Assistant, providing mentorship, performance evaluation, and professional development.
