Litigation Support Assistant (Finance)



Role SummarySupport assigned litigation attorneys by ensuring timely, accurate coordination of all case support functions, including medical records management, legal notices, calendar oversight, and trial preparation. This role is essential in helping trial attorneys stay focused on advocacy while maintaining readiness for high-stakes litigation.

Accountabilities

Request and track medical records and billing statements from providers
Maintain organized medical documentation within the firm's systems (meds tab)
Notify insurance carriers (auto, PR, UM) and send demand/spoliation letters
Enter litigation-related expenses in the case management system
Maintain shared calendars for trial attorneys, including court dates
Schedule trial strategy meetings, depositions, and trial dates
Coordinate and schedule focus groups to support the trial strategy
Print, assemble, and manage materials for trial presentations
Attend Litigation Pod L10 meetings and execute action items
Complete all assigned litigation to-dos on or before deadlines
Handle other administrative and legal support duties as assigned

Maintain 100% accuracy and timeliness on case-related calendaring
Establish a digital tracking log for medical records and billing requests
Complete all assigned trial prep packets 2 weeks ahead of court dates

Key Metrics

Associate's or Bachelor's degree in Legal Studies, Paralegal Studies, or related field (preferred)
2+ years in a personal injury firm or litigation support role
Familiarity with legal calendaring and court filing timelines
Experience in requesting and organizing medical records and billing statements
Proficient in legal case management platforms (e.g., FileVine) and Microsoft Office
Excellent time management and attention to detail
Clear written and verbal communication
Able to handle sensitive information with confidentiality
Self-starter with the ability to manage tasks independently and with attorneys

Ideal Experience & Education

Associate's degree or Bachelor's preferred; Paralegal certificate or equivalent experience strongly valued.
2+ years of experience in a litigation support, legal assistant, or personal injury firm administrative role.
Familiarity with litigation workflows, case calendaring, and legal documentation
Familiarity with medical record systems or billing
Experience using FileVine or similar legal case management systems
Comfort with trial prep logistics and cross-functional coordination

Qualifications
