Senior Executive Assistant - Los Alamos, NM (Finance)



The Opportunity:

Tetra Tech is adding a highly skilled Senior Executive Assistant to provide high-level administrative and operational support to executive leadership and technical staff within the Tech2 Solutions (T2S) Water Program. This role is vital to the smooth functioning of daily program activities, including project deliverable preparation, vehicle fleet logistics, and program management office functions.

The Senior Executive Assistant will also support finance, purchasing, and human resources functions through data management, reporting, and process coordination. This individual will play a key role in designing and improving administrative workflows, generating documentation using specialized software, and collaborating with other administrative professionals to achieve program goals.

This position is on-site at our Los Alamos, NM office. Only local applicants will be considered.

Your Role:

  • Provide executive-level administrative support for the T2S Water Program.
  • Support technical staff with preparation, reproduction, and submittal of project reports and deliverables.
  • Administer the T2S vehicle fleet, coordinate with custodians, and maintain logs.
  • Assist the Program Management Office with tracking and formal submittals of project deliverables.
  • Perform support activities for finance, purchasing, HR, or project/technical units.
  • Compile and generate reports, statistics, timelines, tables, graphs, correspondence, and presentations using specialized software.
  • Collaborate with other administrative staff to ensure program objectives are met.
  • Design processes to improve workflow and efficiency.
  • Provide guidance and information to others on unit procedures and practices.
  • Adhere to all health & safety policies and practices.
  • Conduct activities in line with internal procedures, legislation, and industry standards.
  • Pursue continuous professional development and maintain a high degree of discipline knowledge and awareness.
  • Work in a safe manner at all times and report all health and safety incidents and concerns.
  • Additional duties as required.

Required Skills/Abilities:

  • High degree of professionalism, sensitivity, and tact, especially in high-pressure situations.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong organizational and prioritization skills with ability to manage multiple tasks.
  • Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and database management.
  • Ability to work independently with minimal direction as well as in a collaborative team environment.
  • Strong written and verbal communication skills.
  • Familiarity with the LANL site and work environment preferred.
  • Knowledge of applicable laws, regulations, and policies.
  • Must possess a valid driver's license with a clean driving record without restrictions.
  • U.S. Citizenship required

Qualifications:

  • High school diploma or equivalent required; Bachelor's degree preferred.
  • Career level determined by years of relevant experience, knowledge, and demonstrated ability.
  • Combination of education and experience will be considered if knowledge, skills, and abilities are met.
