Operations Assistant (356) (Information Technology)

The Operations Assistant plays a key support role in assisting with the management of the fleet, mobile devices, and various operational tasks. This position will support the Fleet and Operations Coordinator by ensuring efficient vehicle operations and assisting with additional operational duties as required. The role is also responsible for backup coverage to the corporate receptionist and supporting the overall functionality of day-to-day operations.

How I Will Contribute
Provide assistance to the Fleet and Operations Coordinator with all vehicle-related tasks, including delivery, pick-up, servicing, and cleaning of vehicles. Assist in locating vehicles to program locations as required. Gather and analyze vehicle inspection, maintenance, and tracking data to identify trends and areas for improvement. Accurately input vehicle and driver information into the fleet management system, verifying data regularly to ensure reliable reporting. Support vehicle registration processes and maintain vehicle binder setups. Provide backup support for Verizon business accounts by assisting with ordering, tracking, returns, and distribution of devices. Learn the mobile device purchasing process and ensure proper allocation of devices in accordance with Fiscal Department guidelines. Serve as a backup to the Corporate Receptionist by greeting visitors, allowing building entry, tracking deliveries, answering phone calls, and directing callers to the appropriate person or forwarding messages. Assist the Fleet and Operations Coordinator and Director of Operations with other fleet and operational projects and duties as needed. Perform other duties as assigned to support the overall functioning and success of the program.

What I Bring
High School Diploma (or Equivalent)Class C Driver's License1 year of experience in fleet management, operational support, or a similar administrative role. Experience with data entry and using management systems is essential, as well as a basic understanding of mobile device management and tracking. Previous exposure to customer service or receptionist duties.Understanding of fleet management, including vehicle maintenance, inspection, and tracking systems. Proficient in using fleet management software to ensure accurate data entry and reporting. Knowledge of mobile device management processes, including ordering, tracking, and distribution, will be essential. Basic understanding of operational support tasks, such as managing office supplies and assisting with corporate reception duties.Strong organizational and time management skills to handle multiple tasks efficiently. Attention to detail to ensure accurate data entry and reporting. Proficient in Microsoft Office Suite, especially Excel for data manipulation and reporting. Ability to properly code/track expenses to cost centers/programs. Ability to communicate clearly and coordinate with other departments.Excellent communication and interpersonal skills are essential for collaborating with vendors, staff, and various departments. A proactive problem-solving attitude, coupled with analytical thinking, enables the coordinator to identify inefficiencies and implement improvements. Adaptability and a customer service orientation are crucial for addressing the needs of the organization and ensuring smooth operations.Bachelor's degrees in business, operations, or related field. Experience utilizing ticketing systems preferred. 2 years fleet management, operations, or logistics experience. Working in a fast-paced environment. Experience negotiating contracts with vendors.
