Society Administrator Pubs (Administrative)



Job Summary
The overall purpose of this position is responsible for coordinating in the publication process for the Power & Energy Society journals; coordinating activities across publications handled by the PES Publications Office and plays a critical role in advancing the Society's mission to speed the time from manuscript submission to publication by releasing papers into the review process in a timely manner and assisting other members of the PES Publications team as well as the Editors in Chief in follow up and reminders to reviewer / authors, etc. The incumbent must keep team goals in sight at all times and be ready to step in to help achieve those goals for all of the Society's journals.

The role typically reports to Senior Manager of Publications and will not manage any direct reports. This position works under general supervision and will have the necessary guidelines to make decisions.


Key Responsibilities
  • Responsible for ensuring that all PES Transactions submission (6000+ annually) adhere to PES policies
  • Responsible for managing IEEE and PES policies with regard to the IEEE Prohibited Authors List and plagiarism.
  • First tier technical support to authors of newly uploaded manuscripts.
  • Manages the timeliness of paper reviews. Creates and takes action based on timeliness reports for reviewers, Editors and EiCs
  • Engage with authors, Editors, Editors in Chief on various publication issues and policies.
  • Work with Sr. Manager and the Vendor on creation and support for conference paper submission and review sites (T&D, IM, Grid Edge, GM)
  • As required, schedule paper sessions, poster sessions, and committee meetings as assigned for the PES Conferences.
  • Manages expense reports when assigned by Concur and/or by the PES Administrator for Publications volunteers.
  • Additional tasks as assigned by Sr. Manager
  • Administrator for IEEE Transactions on Energy Markets, Policy & Regulation
  • Provide technical support for end users of the on-line manuscript submission system.
  • Coordinate and track the process for the publication of technical papers. Schedule issues ensuring that PES maintains the designated page budgets or required approvals to exceed the designated page budgets are obtained.
  • Works with IEEE Pubs staff to maintain accurate information in each issue, approves issue proofs
  • Manages PES website of the papers in the most recent issue of the Transactions and link the titles to the abstracts in IEEE Xplore.
  • Responsible for issue announcements in PES eBulletin
  • Manages PES discussions and closures.
  • Maintain quarterly publication statistics
  • Update and maintain the content on the Transactions web pages.
Education
  • Associate's degree or equivalent experience Req
Work Experience
  • Less than 2 years Req
Skills and Requirements
  • Troubleshoot issues across all systems to ensure a smooth submission to publication process for our Authors
  • Highly proficient in all standard MS Office suite programs and Google tools. Experience with Adobe Creative Suite a plus.
